Dynamics GP Budget Transactions & Adjusted Budgets

In this Video I show how to maintain Budget Transaction History, Enter Budget Transactions and how I use multiple Microsoft Dynamics GP Budgets in FRx.

I use multiple budgets to monitor my original budget set at the beginning of the year, and an adjusted budget.

The adjusted budget accounts for changes based on actual numbers. Let’s say I budget $100 for sales revenue, and expenses as a percent of sales. If my sales were $200, at least some of my expenses should be higher, so I change my adjustment budget using the same percent of sales, but increase or decrease based on the difference between actual revenue and budgeted revenue. This gives me realistic budgets for my expense accounts based on actual sales.

Here is a report I like to build for my Dynamics GP customers. It can be used to verify whether accounts have been added since the last printing, and it can be used to compare totals of other reports to ensure accuracy.

Some clients simple give this statement to their CPA for write-up work and as an audit sheet.

Not ready to close the year In Dynamics GP, but need a Balance Sheet

Not ready to close the calendar/fiscal year in the Microsoft Dynamics GP General Ledger but need to print Balance Sheets for January in FRx? It can be done!

Add 2 columns, 1 for 2010 numbers and one to add the 2011 numbers and the 2010 numbers.

Make the 2011 column display as CUR (if you choose YTD it'll only give you January Ending Balances for 2010 and we need the entire 2010 Ending Balances to display.) Also hard code the year in the Fiscal Year and for the Fiscal Period choose all periods (1 TO 12.) This will give you Year Ending Balances.

Make the 2011 and 2010 columns a NP column in Print control. This means the columns will be used for Calculation but will not print.

The second column you add should be a CALC column, so you can add the 2010 and the 2011 columns together.

Print your Report and you are good to go until you close your Fiscal year. At which time you'll need to revert to the old column format!

Building a Dynamics GP - FRx Report... Start with paper!

When building a report for Microsoft Dynamcis GP using FRx Analytics or Report Manager, start with paper first.

Design the report in very basic terms, what do you want to see, who is going to use it and how are they going to use it.

If you create while building in the Analytics application, it'll take you MUCH longer.

It doesn't have to be anything fancy. Here is one I used recently....
